POSITION: EVENT TRAVEL COORDINATOR
REPORTING TO: HEAD OF EVENT TRAVEL, UK, DE & AU
The Company is in the top ten of its sector, a Travel Management and Services Company, leading its field and looking to develop people, technology, channels and products to further outdistance the competition.
PURPOSE OF THE ROLE:
Due to the successful growth of our business, a full time position has become available for a highly competent and experienced Event Travel Coordinator, to work within the Event Travel division. The Event Travel division supports both the Events and Business Travel Departments, managing UK and global travel logistics for groups of 10 – 1,000+ passengers.
This varied role requires a team player with excellent relationship, communication and commercial skills, who will develop industry leading relationships. The successful candidate will ideally have a proven track record in booking group and/or individual travel logistics, driving income levels into the business at every opportunity as well as possessing strong attention to detail and organisational skills, and be able to demonstrate value to both clients and suppliers.

PRINCIPAL RESPONSIBILITIES:
- Work under An Event Travel Manager on a range of event travel projects to ensure client service satisfaction, perform to agreed client service level agreements, ensure successful project delivery on time and on budget and achieve pre-agreed event profitability targets
- Create individual reservations and accurately input data into internal software
- Research fares by following the R&M benchmarking strategy
- Excellent and strong multi-tasker who works well under pressure and can easily deal with short lead requests within SLA
- Seek cost effective solutions in line with client objectives
- Maintain client focus at all times and demonstrate excellent service levels
- To support all areas of the business by providing them with new and existing leads within client account.
- Understand client accounts, to immerse yourself in allocated client brand and culture through understanding of their marketplace and competitor landscape
- Achievement of pre agreed objectives and KPI’s.
- Support the Event Travel Management team as and when required.
- To have regular 121 meetings with your Line Manager to progress of the objectives set
- Financial targets contributed to and achieved
- Lead small, one element events from conception through to delivery and financial reconciliation
- To understand, qualify and accurately detail the clients brief obtaining any missing information
- Conduct RFP process to relevant suppliers
- Liaise with suppliers on function room layouts, AV, food and beverage needs
- Responsible for completing Event Specific Agreements on a per project basis
- To ensure all incoming calls and written communication are actioned promptly, efficiently and dealt with in an appropriate manner responding to the business and client needs
- Update any inhouse management systems with required information to meet company compliance
- To provide support to the Event Managers with various aspects relating to larger events
- Support with Delegate Management for larger projects using Cvent Technology
- Support Event Managers onsite at events as/when required by the business
SKILLS, KNOWLEDGE & EXPERIENCE:
- Proven experience in the travel and/or events industry
- Experience of working in a groups and/or events team preferred but not essential
- GDS experience
- Excellent fare and ticketing knowledge including Published, Net, Group, and Consolidator fares
- Good knowledge of Australian and overseas suppliers and destinations
- Working knowledge of MS Office Suite
- Experience working as part of a global team
- Knowledge and experience of the air/travel industry
- Excellent geographical and airline schedule knowledge
- The ability to work on multiple events at the same time
